eID Electronic Signatures
Folderit supports electronic signing with compatible government-issued electronic identities. This method creates an ASiC-E signature container and uses the XAdES electronic-signature format.
eID signing is available on the Medium and Tailor plans. Signers must have access to a supported electronic identity method, such as a compatible national ID card, Mobile-ID, or Smart-ID.
Depending on the electronic identity and trust service used, the completed signature may qualify as a Qualified Electronic Signature.
Requirements
- A Folderit Medium or Tailor subscription.
- A compatible government-issued electronic identity or supported mobile identity method.
- Any required ID-card reader, software, PIN codes, or mobile authentication application.
- Access to the email address used as the signing recipient.
Supported electronic identities
Compatible ID cards may be used from supported European countries, including:
Austria, Belgium, Bulgaria, Croatia, Cyprus, the Czech Republic, Denmark, Estonia, France, Germany, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, the Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, and Sweden.
Where available, signers may also use:
- Mobile-ID in Estonia and Latvia;
- Smart-ID in Estonia, Latvia, and Lithuania.
Availability may depend on the signer’s country, identity provider, certificate status, and local electronic-signature services.
What is an ASiC-E signature container?
When you start an eID workflow from a document, Folderit creates a new file with the .asice extension in the same folder. A copy of the selected document is placed inside this signature container.
The container keeps the signed documents and electronic signatures together. It may contain one or more files and can be sent through a signing workflow when it is ready.
Start eID signing from an existing document
- Open the document that you want to have signed.
- Click Start eID Workflow in the document’s detail view.
- Folderit creates a new
.asicesignature container in the same folder. - A copy of the original document is added to the container.
- Open the new signature container and confirm that it contains the required document.
- Add the signing recipients and configure the workflow order.
- Add an optional note for the signers.
- Start the workflow to send the signing invitations.
Create an empty signature container
You can also create an empty ASiC-E container first and add the required files later.
- Open the folder where the signature container should be stored.
- Click the arrow next to the Upload button.
- Select the option to create a new signature container.
- Enter a name for the container.
- Create the container and open its detail view.
- Select files stored in Folderit and add them to the container.
- Start the eID signing workflow when the container is complete.
This method is useful when several documents must be signed together as one package.
Configure the signing workflow
You can send the signature container to registered Folderit users or external recipients by entering their email addresses.
Choose the order in which recipients should sign:
- Parallel — all recipients receive their signing requests at the same time.
- Serial — recipients are invited one after another in the specified order.
- Custom — recipients can be arranged into multiple signing stages.
For reusable recipient groups and signing stages, see Creating and Using Workflow Templates.
To include eID signing in a larger process with triggers, conditions, approvals, acknowledgements, or file moves, use the Workflow Designer.
What the signer receives
Each recipient receives an email invitation containing a secure link to the signing task. Folderit users can also access assigned requests from their personal task dashboard.
External recipients do not need to be registered Folderit users. They can open the signing invitation in their browser and continue with a supported electronic identity.
During the signing process, the recipient:
- opens and reviews the signature container;
- checks the files included in the container;
- selects an available electronic identity method;
- authenticates using the required PIN, mobile application, or identity service;
- confirms and completes the electronic signature.
Learn more about assigned workflow tasks in Personal Dashboard: Tasks and Requests.
Signing status indicators
- Yellow square with a pencil — the signing process is still in progress.
- Red square with a pencil — the signing request has been rejected or did not complete successfully.
- Green square with a pencil — the document container has been signed successfully.
Monitor the signing workflow
Open the signature container’s detail view to review the current workflow status, recipient activity, comments, and timestamps.
After all required recipients have signed, the completed ASiC-E container remains stored in Folderit together with its workflow history and audit information.
For a detailed history of document activity, see the Audit Log guide.
Delegation and deputies
When another person must handle an assigned workflow task on behalf of a user, review the available workflow deputy and delegation options.
Other electronic-signing options
If electronic-ID signing is not suitable for your process, Folderit also supports its native Folderit eSign method and the DocuSign integration, depending on your subscription and signing requirements.
