Document Generation Software
Create PDFs and Word documents from the data your team already collects.
Folderit Document Generator turns a completed eForm into a document using your reusable template. Prepare contracts, letters, certificates and reports with consistent wording and branding, then keep the finished files in the same system for review, signing and storage.
Your template + form values → a PDF or editable Word document. Watch the walkthrough below.
Why generate documents in Folderit?
Stop retyping the same detailsNames, addresses, dates and other values come from the filled eForm record. Placeholders insert them wherever they belong in the document, reducing the manual copying that can leave an old customer name or date in a new file.
Keep wording and layout consistentYour template defines the text, logo, tables and page layout. The person generating a document supplies the values through the form and selects the output, rather than rebuilding the document each time.
Use one record for different documentsAn eForm can have more than one document template connected to it. For example, prepare a client agreement and a separate client summary, then generate each from the same completed record.
Manage what happens nextSave the generated file in Folderit to use permissions, version history, audit trails and workflows. The document can continue through review or signing without moving into a separate document-management system.
From form data to a finished document
- Choose the information to collect. Create or select a Folderit eForm with fields such as client name, address, contact person and payment terms. Each completed form creates a record containing those values.
- Prepare the document template. Create an ODT file in LibreOffice Writer or another editor that saves ODT. Add your wording, branding and placeholders copied exactly from Folderit’s Available form fields list.
- Connect the template and choose formats. Under Admin tools → Form templates, add the document template to the relevant eForm. Upload the ODT, set a file-name pattern and enable PDF, DOCX or both. Administrator access is needed for this setup.
- Generate and check the result. Open a completed record and choose Generate PDF or Generate DOCX. Folderit inserts the record’s values into the template. Use the available options to save the result in Folderit, download it or email it from the system.
A simple exampleImagine a client record with the name “Northfield Studio” and payment terms of 30 days.
Template: This agreement is made with {{ client_name }}. Payment terms are {{ payment_terms }} days.
Generated text: This agreement is made with Northfield Studio. Payment terms are 30 days.
Illustrative values. Use the exact placeholders provided for your own eForm. You can also use field placeholders in the generated file name.
The document-generation setup guide covers template settings, field placeholders and troubleshooting.
What could your team generate?
Start with a document whose structure stays largely the same while names, dates and other details change. These are examples you can configure:
Client agreementsCollect the client’s name, registration number, address, contact details and payment terms. Generate an agreement using wording your team has prepared, then arrange review before signing. See contract generation from request forms.
HR letters and onboarding documentsUse fields such as employee name, job title, department and start date to prepare an offer letter or onboarding document. Save the result with appropriate employee-folder permissions. Explore HR onboarding document automation.
Training certificatesCapture a participant’s name, course, completion date and certificate reference. Generate a branded PDF using your certificate layout. The team responsible for training confirms completion; the template supplies the document. See PDF certificate generation.
Incident reports and internal applicationsTurn a structured record of an event, location, date, owner and description into a consistent report. A separate template can present selected values as an internal summary, using the same source record.
Keep the generated file in your workflow
Generating the document is one step. A draft agreement may still need approval; an HR letter may need a signature. Once saved in Folderit, the file becomes a managed document that can enter review and approval workflows or an electronic-signing process.
Choose who can access it, retain its version history and review document activity through the audit trail. Apply the sharing and retention settings appropriate to the record. These controls are configured as part of your document-management process; generating a file does not itself approve or sign it.
Test the whole route with a sample record. Generate each format you plan to use, check that the placeholders are replaced, and inspect page breaks, tables and file names. Then test storage, email or any follow-on workflow you intend to use. Review the available plans and security controls when choosing your setup.
Before you get started
Can we generate both PDF and Word documents?
Yes. Enable PDF, DOCX or both in the document-template settings. PDF is useful for distribution; DOCX gives you an editable Word document. Users see the generation options enabled for that template.
Can we upload a Word document as the template?
The template uploaded to Folderit must be an ODT file. Prepare it in an editor that can save ODT, and check its layout and placeholders before upload. DOCX is an output format, not the template format used by this setup.
Does submitting the form automatically create the document?
In the documented workflow, submitting the eForm creates a record. A user then opens that record and chooses Generate PDF or Generate DOCX. Form submission and document generation are separate steps.
Can we create several document types from one form?
Yes. Connect multiple document templates to an eForm, then select the appropriate template when generating a document from a filled record. Each template has its own layout, generated file-name pattern and available output formats.
What if a field is missing or the layout looks wrong?
Check that the source field has a value and that its placeholder exactly matches Folderit’s Available form fields list. Keep placeholders in one piece. For layout problems, simplify the ODT template and check both output formats. The setup guide includes a testing checklist and troubleshooting steps.
