Sending Files as Email Attachments

You can send any file stored in the system as an email attachment directly from its file details page. The system attaches a copy of the selected file to the email, so you do not need to download it and attach it manually.

Send a file as an email attachment

  1. Open the file you want to send.
  2. On the file details page, select Send as email.
  3. Complete the following fields:
    • To: Enter the recipient’s email address.
    • Subject: Enter a subject for the email.
    • Message: Add a message for the recipient.
  4. Select SEND.

The recipient receives your message with the actual file attached.

Sending a file as an email attachment is different from sharing it with a public link.

Email attachment

The system sends a copy of the actual file with the email. After receiving it, the recipient can download, save, or forward that copy without returning to the system.

Use an email attachment when you want to send a specific copy of a file directly to someone.

Public link sharing sends a downloadable link to the file instead of attaching the file itself. The same link can be opened and reused by anyone who receives it while it remains active.

Use a public link when you want to share access through the system or allow the same link to be used multiple times.

Important: An email attachment is a separate copy. Changes made to the file in the system after the email is sent are not applied to the attached copy. When using a public link, the recipient downloads the file available through that link.

Troubleshooting

If you cannot see the Send as email button, confirm that you have permission to access the file. If the problem continues, contact your system administrator.
