Folderit eSign

Folderit eSign electronic signature logo

Folderit eSign lets you send documents for electronic signing directly from Folderit without requiring an external signing provider or special hardware.

Folderit eSign is available on the Tailor plan and includes unlimited electronic signatures at no additional per-signature cost.

Documents can be sent to registered Folderit users or to external recipients who do not have a Folderit account. External recipients receive a secure email invitation and can review and sign the document through their browser.

Ways to start a Folderit eSign workflow

You can use Folderit eSign in several ways:

  • Single-file workflow — start a signing process manually for an individual document.
  • Folder-level automation — automatically start a predefined signing workflow whenever a file is added to a configured folder.
  • Workflow template — use a reusable signing process with predefined recipients, signing order, instructions, and other settings. Learn more about creating and using workflow templates.
  • Workflow Designer — include electronic signing as one stage in a larger automated process containing triggers, conditions, approvals, acknowledgements, file moves, or other actions. Learn more about the Workflow Designer.

Start Folderit eSign for a single file

Open the document’s detail view and choose the Folderit eSign option from the available workflow actions.

The Start Folderit eSign workflow option becomes available after Folderit has generated a preview of the document. If it is not visible immediately after uploading the file, wait for the preview process to finish and refresh the page. See Previewing Files for more information.

  1. Open the document that you want to send for signing.
  2. Start the Folderit eSign workflow.
  3. Add an optional note explaining what the recipients are being asked to review or sign.
  4. Choose the workflow order: Parallel, Serial, or Custom.
  5. Add individual recipients or user groups.
  6. Choose whether recipients may see the document metadata and related items.
  7. Optionally enable Move after successful workflow and select the destination folder.
  8. Click Start to send the signing invitations.

Choose the signing order

  • Parallel — all recipients receive their signing tasks at the same time.
  • Serial — recipients are invited one after another in the specified order.
  • Custom — recipients can be arranged into multiple stages. Recipients in the same stage receive their tasks together, and the next stage begins after the current stage has been completed.

For processes that require a formal decision before signing, Folderit eSign can be combined with an approval workflow. It can also be followed by an acknowledgement workflow when recipients must confirm that they have read the completed document.

What the recipient sees

Each recipient receives an email invitation containing a secure link to the signing task. Registered users can also find the request in their Folderit tasks.

The recipient can:

  • preview or download the document;
  • review the sender’s note;
  • select the required page and place their signature;
  • add a comment or optional attachment;
  • sign the document;
  • reject the request;
  • request clarification before making a final decision;
  • delegate the task when delegation is allowed.

External recipients do not need to create a Folderit user account. They can open the secure invitation link and complete the signing process in their browser.

Place and confirm the signature

The recipient first selects the page where the signature should appear and then clicks the desired location in the document preview. After placing the signature, they scroll to the available actions and click Sign to finalize the task.

The recipient should review the document and signature placement carefully before confirming, as signing completes their assigned workflow step.

Automate Folderit eSign

Folder-level automation

A folder can be configured to start the same eSign workflow automatically whenever a new document is added. This is useful for recurring processes such as employee agreements, contracts, consent forms, or standardized customer documents.

Configure the automation from the folder’s workflow settings, select Folderit eSign as the method, add the required recipients, choose the signing order, and save the workflow.

Workflow templates

Use a workflow template when the same signing process is started regularly but should not begin automatically for every file in a folder.

A template can store the signing order, recipients, instructions, visibility settings, and other workflow configuration so users do not need to rebuild the process each time.

Workflow Designer

The Workflow Designer can include Folderit eSign as part of a larger process. For example, a document may first require management approval, then be sent for electronic signing, and finally be moved to an archive folder after successful completion.

Monitor signing progress

The workflow status is shown in the document’s detail view. You can review the recipients, current workflow stage, completed actions, comments, and timestamps.

After the workflow has been completed, the signed document and its workflow history remain connected to the item in Folderit, providing an auditable record of the signing process.
