How can we help?

Linking / Relating Items

Use the Related Items feature to create a clear connection between files, folders, and external links in Folderit.

Related items are shown in the item’s details view, making it easier to navigate between connected resources.

Add a related item using Browse

  1. Open the file, folder, or external link that you want to modify.
  2. Click Modify in the toolbar.
  3. Scroll to the Related Items field.
  4. Click Browse.
  5. Browse the folders to find the item you want to connect, including a form record. Open a folder to see its contents, select the item, and click Select. You can use search to help find an item, but a search term is not required.
  6. Save the changes.

The item browser has two separate controls. Choose the one that matches where you want to look:

  • Search items by name, at the top of the browser, searches by item name within the current folder and its subfolders. Use it to find an item deeper in the folder structure without opening each subfolder.
  • Filter, below the list when browsing a folder, narrows only the items currently listed in that folder. It does not search inside its subfolders.

Example: if you are browsing Clients and a folder named Legal is inside Clients → Swed, entering Legal in Search items by name can find it. Entering Legal in Filter will not reveal that nested folder while you are still viewing Clients.

The current folder path at the top of the browser shows where you are searching. Use the up-arrow control to move to a higher folder before searching if you need a broader scope. Enter a name in Search items by name and press Enter. Use Clear search to return to normal folder browsing. To remove a Filter, clear its text.

Searching is optional: you can also browse folders directly. Once you find the item, select it, click Select, and save the record or item you are editing.

Add a related item using its Document ID or URL

You can also create a connection by entering the item’s Document ID or full Folderit URL.

  1. Open the file that you want to associate with another item.
  2. Copy its Document ID or the full URL from your browser’s address bar.
  3. Open the item to which you want to add the relation.
  4. Click Modify in the toolbar.
  5. Scroll to the Related Items field.
  6. Paste the Document ID or URL into the field.
  7. Click Add item. The related item will appear below the field.
  8. Click Save.

The connection is now visible in the item’s details view. Repeat the relevant steps to add more related items.

Relation fields in forms

A form template can also include a Relation field, such as a Customer field that points to a customer record. When Fetch options from is set to a particular form template, only records created with that template can be selected. You can still browse folders to reach them. See setting up and using a Relation field.

General Related items links and form Relation fields are separate. A value in a form’s Relation field does not by itself make the record match Has any relations in search’s general Relations filter.
