Personal data often lives inside everyday business documents: employment agreements, customer correspondence, application forms and signed contracts. Protecting that information requires control over who can access it, how it is used and how long it remains available.
For organisations looking for a DPDP Act compatible document management system, Folderit offers a strong practical foundation. Its combination of security controls, document tracking, retention automation and documented processing responsibilities supports the operational work behind a data protection programme.
Compatibility here means supporting your organisation’s compliance requirements through appropriate technology and configuration. Your policies, processing decisions and implementation remain part of the result.
What does the DPDP Act mean for document management?
India’s Digital Personal Data Protection Act, 2023 covers digital personal data, including information originally collected on paper and subsequently digitised. Scanning a document therefore brings the personal information it contains into the digital processing environment addressed by the Act.
An organisation that determines why and how personal data is processed is a Data Fiduciary. Its responsibilities include lawful processing, appropriate safeguards and handling applicable individual rights. Engaging a Data Processor does not remove those responsibilities. Read the DPDP Act.
Timing matters: as of September 2026, implementation is phased, with the main operational obligations scheduled to commence in May 2027. The capabilities discussed below help organisations prepare ahead of that transition. Government implementation update.
For document management, preparation starts with practical questions:
- Can employees access only the documents they need?
- Can administrators investigate document activity?
- Can relevant records be located and reviewed efficiently?
- Can retention decisions be applied consistently?
- Are the provider’s processing responsibilities documented?
These are areas where Folderit can make a meaningful contribution.
Protect personal data with layered security
Folderit provides encrypted connections and 256-bit encrypted storage, together with two-factor authentication, configurable password policies and IP restrictions. Organisations can also use supported single sign-on integrations to centralise identity management.
Folderit’s security documentation describes regular third-party penetration testing, geographically separated backups and ISO 27001 certification. Together, these provide useful evidence when assessing a document management provider’s security practices. Explore Folderit’s security controls.
These capabilities align with several categories identified in Rule 6 of the DPDP Rules, 2025: data security measures, access controls, visibility through logs and monitoring, backup arrangements, and appropriate contractual safeguards. Actual compliance depends on the complete implementation and operating procedures. Read the DPDP Rules.
Give people the access their work requires
A document may need several reviewers without needing several unrestricted copies.
Folderit supports granular permissions for users and groups, including preview-only, upload-only, download and editing permissions. This helps organisations distinguish between someone who needs to submit a document, someone who needs to read it and someone authorised to change it. See Folderit’s access management features.
For example, an organisation could keep employment agreements accessible to designated HR staff while giving a manager access to a specific document for review. A document collection process could allow submissions without opening the existing folder contents to the contributor.
The benefit is practical: access decisions become part of the document workflow, and administrators can review those decisions as responsibilities change.
Use audit trails to support accountability
When investigating a document issue, teams need evidence of what happened.
Folderit’s knowledge base describes audit logs showing activities such as adding, deleting, previewing, downloading and sharing documents. This gives administrators a useful basis for reviewing access and investigating unexpected activity. Learn about Folderit’s audit logs.
For DPDP preparation, include log retention in your assessment. Rule 6 specifies a one-year retention requirement for the logs and personal data covered by its security provision, unless another law requires otherwise. Folderit’s standard DPA describes keeping logs for a reasonable period, so confirm the required duration and coverage for your deployment. See the DPDP security requirements and Folderit DPA.
Turn retention policies into repeatable actions
Document retention works best when teams can apply an agreed schedule consistently.
Folderit’s retention automation lets organisations configure retention periods for folders or individual files. Depending on the settings, documents can be archived, moved to the Recycle Bin or permanently deleted. A selected metadata field can determine when the retention period begins.
Retention automation must be configured: the knowledge base states that files are retained indefinitely by default. Feature availability also depends on the selected plan. Explore retention period automation.
This flexibility helps teams translate approved retention schedules into everyday document handling. Different record categories can have different periods and actions.
When designing the process, account for legal retention duties, document versions, recycled items and backup handling. Moving a file to the Recycle Bin is a recovery safeguard rather than completed erasure.
Find records and organise privacy-related work
Responding to a personal data request begins with finding the relevant information.
Folderit combines OCR content search, metadata fields and filters to help teams locate documents beyond their filenames. Consistent identifiers and document categories can make the review process more manageable. See Folderit’s search and metadata features.
Organisations can also use document review and approval workflows to route records to the appropriate people, with timestamped actions and workflow summaries supporting internal recordkeeping. Explore document workflow automation.
For example, a privacy request procedure could involve locating records, assigning a reviewer, documenting the decision and retaining the response evidence. Your organisation still verifies the requester’s identity and determines the appropriate response.
Assess a documented processing relationship
Folderit’s Data Processing Addendum provides a written framework for its processing relationship with customers. It includes commitments concerning confidentiality, technical and organisational measures, subprocessors, assistance with individual rights, audits, and personal data breach notification without undue delay.
The DPA uses GDPR terminology and references. It provides useful material for DPDP vendor assessment, while any India-specific contractual requirements should be checked against your intended use. Read Folderit’s DPA.
Folderit also publishes its subprocessor list, helping customers understand the service providers involved.
The Terms of Use include confidentiality commitments and preserve customers’ ownership rights in their uploaded content. These documents give procurement, IT and privacy teams concrete information to review together.
Can a DPDP-compatible DMS host documents outside India?
The DPDP Act does not impose a universal requirement to store all personal data in India. Section 16 allows government restrictions on transfers and preserves stronger requirements under other applicable Indian laws. Sector-specific requirements and applicable government measures therefore remain relevant. DPDP Act, Section 16.
Folderit’s Privacy Notice identifies Amazon hosting in Ireland, or another location selected where that option is provided. It also explains that certain service providers may involve transfers outside the EEA, with the stated GDPR safeguards. Read Folderit’s Privacy Notice.
For organisations permitted to use overseas hosting, this makes Folderit a credible option to assess. Confirm the proposed hosting location, subprocessors and any applicable localisation requirements during procurement.
Build DPDP readiness into daily document management
Folderit brings together capabilities that help organisations put data protection decisions into practice: controlled access, encrypted storage, searchable records, audit evidence and configurable retention.
A useful evaluation starts with one representative workflow. Configure permissions, locate a sample record, review its activity history and test the retention process. Then assess the contractual and hosting arrangements against your organisation’s requirements.
